The VMS collects real-time data on machine status and inventory levels, automatically triggering real-time alerts and notifications for slot inventory, temperature, and other machine errors. This document provides instructions for authorizing machine alert permissions for sub-users, configuring machine alerts, checking and reviewing machine alert records.

Authorize Permission for Sub-users

If the sub-user account hasn’t been granted the Private Settings permission, you should log in with the main user account to authorize it to receive machine alert notifications.

Note: The main user account holds administrative privileges over sub-user accounts, including the ability to assign roles and permissions.

  1. Navigate to System Settings->User Management, you can see all the sub-user accounts under the main user account.

  1. Enter the user name or login ID and click “Modify” to check the sub-user account’s role. For example, here the sub-user’s role is “System Administrator”.

  1. Navigate to System Settings -> Role Management, and locate the target role (e.g., System Administrator). Click “Authorize” in the Operation column to assign access permissions for the account.

  1. In Permission Settings, make sure the Private Settings under System Settings is enabled. Click the button “Submit” to save the settings.

Configure Private Settings

  1. Navigate to System Settings -> Private Settings using an account with Private Settings Access permissions.

  2. Turn on the Email Notifications Main Switch, then enter your notification email address in the activated field.

  3. Enable both Machine Fault Alerts and Low Stock Alerts to receive corresponding notifications by email.

  4. Click “Save” to apply all changes.

Currently, machine alerts are only available via email notifications; SMS support is not included.

Set Low Stock Alert for the Whole Machine

  1. Navigate to Machine Management->Slot Management, then select the machine group and machine ID to locate the target machine for configuration.

  1. Click the button “Quick Settings Of Warning Qty” to enter the setting page.

  • To define low stock alert for the machine's total stock capacity, you can set a percentage threshold in Total Alert Qty. For instance, if the threshold is configured at 20% and the machine’s total capacity is 100, it will automatically trigger a low-stock alert when the inventory level drops to or below 20 units.

  • For multiple slots, specify the start and end slot numbers and define a percentage threshold for the selected range. Use the ‘➕’ button to add additional slot ranges; alerts will be generated individually for each slot based on its unique capacity, current stock level, and configured threshold.

  • Alert won’t be sent if slot stock is set as 199.

Click the button “Submit” to save the settings.

Set Low Stock Alert for a Single Slot

  1. In Machine Management->Slot Management, select the machine group and machine ID and click “Query” to view all the slot information of the machine.      

  1. Click the “Edit” button for the target slot to access its configuration page, then enter a numeric threshold in the ‘Alert Qty’ field to trigger low-stock alerts.

    For example, setting the threshold to 5 will generate an alert when the slot’s inventory drops to or below 5 units. Click the button “Submit” to save the settings.

Check the Machine Alert and Historical Records

Check the Machine Alerts and Historical Records on the Website

  1. Sub-users can receive machine fault alerts on the dashboard and click the “»” icon in the bottom-right corner to enter Alarm page for detailed information.

The alert will be cleared from the dashboard once the error is cleared on the machine’s tablet.

  1. In the History->Alarm page, you can review the detailed machine fault information and export the error list.

When an error is cleared on the machine’s tablet, the corresponding error information will be transferred to the “Already Processed” category in the Status menu.

Check Machine Alerts via email

The email account configured in System Settings -> Private Settings will automatically receive two types of alerts:
