3.2 Company Management

3.2.1 Create Company

In order to proceed with this section, you may need to contact KioSoft Support team in advance for the information on “LCMS License File” which will be needed in later step to create the vendor.

1) Click on “Company Management” to enter this section and click “Create Company” box to start the procedure.

2) Fill in the information of the company and click “Save” to create the company’s account. You may refer to Table 3-1 for the descriptions of the fields as needed.

Installation/Billing

Installation is used to limit Distributor. Whether you select “Installation” for a vendor or not, it has no influence to the vendor’s functions.

If vendors have the billing privilege, the “Monthly Fee” field of Location will be displayed. Staff belonging to these vendors with the billing privilege will need to bind the credit card to pay for the billing fee during their login.

Input the website address of the vendor.

Alphabetical Prefix

Letters

Random English letters used to define SRC code. The SRC code is consist of alphabetical prefix, numeric start and end which should be limited to 7 digits in total.

DMS Vendor Name

Customize the vendor name which will be synchronically uploaded onto DMS system.

RCP Port

RCP is the Remote Card Programmer which is connected with CCM to make cards, read cards and refill cards. KioSoft will allocate an RCP Port to each vendor.

Market

Dropdown choice

Select the market that the vendor belongs to. Presently market category includes Integration, Amusement, Laundry, and Coffee.

Role Group

Dropdown choice

Display the role groups created under the market category selected. Role group options are created previously. Select one or more role group(s) for the vendor.

Currency Symbol

Icon

Symbol of currency used in transactions.

Multiplier of Amount Display

Numeric

When this value is set, the amounts displayed on Value Card and Coin Collection page will be expanded by this multiplier. The maximum account balance, maximum refill amount and refill amount options will also be expanded by this multiplier. Only numbers are allowed and the max length is 10 digits.

Thousand Separator

Punctuation mark

Select a thousand separator for the amounts displayed in the reports. E.g. Using “.” Will show values as 1.000.000, while using “,” will show values as 1,000,000.

Decimal Point Display

Radio button

If you want to display decimal points for the amounts in the reports, please select “Enabled”. If not, please select “Disabled”.

3.2.2 Enable/Disable

The company account created will be displayed in the company list in Company Management section. The default status of the account is “Enabled” which you can see in the column of status.

Click on the green “Enable” button, the status will be changed into “Disabled” and vice versa.

3.2.3 DNS Sync and ServerConfig Sync

DNS and ServerConfig sync are designed for vendor companies. As you complete creating a new vendor company, DNS and ServerConfig can automatically finish syncing in backoffice. The sync button could be presented in two status “” or “”. If the status is shown as “Sync”, it indicates DNS or ServerConfig has not finished the synchronization. You may try to click on the button to sync manually or ask KioSoft for support.

3.2.4 IMS Sync and DMS Sync

As you are creating a vendor company, you have to fill in the information relative to IMS and DMS ( Please refer to Table 2-2), which will introduce the database to IMS and DMS automatically. Consequently, the features can save you from creating the vendor and input the information again in IMS & DMS systems. The sync button could be presented in two status “” or “”. If the status is shown as “Sync”, it indicates IMS or DMS has not finished the synchronization. You may try to click on the button to sync manually or ask KioSoft for support.

3.2.5 Edit

You can edit the company account by clicking the “Edit” button in the column of Actions. The parameters of the company are all editable. Click “Save” to keep the changes or “Back” to quit the modification.

3.2.6 Create Vendor Staff

1) The Distributor staff can log into the vendor company accounts either bwy clicking the “Login” button in the column of Actions or by visiting the URL of the portal with Email/Username and password of the Distributor staff.

2) After login the vendor portal, you need to create Staff for the vendor with the following steps.

  • Click on User Management>Staff>Create User to open up the information form of the staff.

Input the information of the staff, select the role desired and click “Save” marked in the red box.

The password for the account will be auto-generated and sent to the registered email address.

Location Assignment: There are two options: To all locations and By Branch. The two types of staff have different accesses to locations and branches and different permissions for operations like creating a new staff, editing an existing staff and viewing the staff list. For detailed information, please refer to below table.

To all locations Staff

By Branch Staff

  • Has no data limitation.

The staff can see all data scope (all staff on the staff list & all branches on the branch list & all locations on the location list) of the vendor company.

  • Has data limitation.

The staff can only handle the data of their own branches. They cannot see “To all locations” staff on the staff list.

  • Can see “Location Assignment” field when creating a new staff.

“To all locations” staff can create both “To all locations” staff and “By Branch” staff. All branches of the vendor company will be listed on the creating user webpage.

  • Cannot see “Location Assignment” field when creating a new staff.

“By Branch” staff can only see the “Branch” field and his own branches on the creating user webpage, which means they can only create another “By Branch” staff.

  • Can edit all types of staff.

“To all locations” staff can see the “Location Assignment” field when editing both “To all locations” staff and “By Branch” staff and can see all branches of the vendor company in the “Branch” field with no limitation.

  • Can edit the staff whose branches are covered.

“By Branch” staff can edit another staff only if the branches of this staff are all covered by the editor.

Branch: If you click “By Branch” for the “Location Assignment” field, the “Branch” field will show. You could select one or more branches from the drop-down list or you could click the “Select All” checkbox on the right.

  • The staff account created will be displayed in the staff list.

  • Click “Back to Admin” at the upper-right corner to return to Distributor Portal.

3.2.7 Smart Search Bar & Filters

1) You can search for certain vendor account using the smart search bar at the upper-left corner under Company Management. Input the keyword of the account then the corresponding results containing such keyword will be displayed in the list.

The keyword used in the search bar shall come from the Company ID or Company Name of the targeted account.

2) Or you can use the combined filters of Privileges, Market and Status to filter out the target account. Click on the corresponding filter and select the one needed in the drop-down list appeared, then the search results will be displayed in the list automatically.
