Tablet Backend

The Central Controller is designed to manage the vending machine from product display, ad promotion, payment process, to item dispensing. This document introduces the Backend functionality, which helps users manage the vending machine easily. In the Backend, users can manage the products to be sold, configure the basic info of the machine, customise the shopping page, view the transaction history, diagnose the machine error, etc. It’s hoped that this document can help users know more about the functionality in the Backend.

A Simple Novice Guide:

To make new products hit shelves, especially for the first time to make the machine run, you can follow the basic steps below:

  1. Log in to the Backend;

  2. Go to Basic Info to import images/ video (e.g. product images, full/ half screen ads, client logo, help image, etc.);

  3. Go to Slot to create a slot layout;

  4. Go to Product to edit the product details, Inventory to configure the slot capacity & stock, Payment to configure the payment method, and Shopping to upload Ads and set currency-related items. (No fixed order for these sections)

For the details of each step, please scroll down to the corresponding sections to get the detailed instructions.

Additionally, there are more functions to manage the vending machine. Let’s get more details in the document.

Log In

Tap the logo in the upper left corner 5 times consecutively. Then the log-in page appears.

Please select the Operator role or Replenisher role, and enter the correct username and password to log in.

  • Operator: has access to all sections in Backend, including Product, Inventory, Slot, Basic Info, Fault Diagnosis, Payment, Shopping, and Transaction History sections

  • Replenisher: has limited access in Backend, including Product, Inventory, Slot, Fault Diagnosis, and Transaction History sections.

Note for the Password:

  1. The username is set as “admin” by default, and only Operators can change Operator/ Replenisher’s password in the Basic Info section. When logging in using the initial password, a pop-up window will remind Operators to change their password. (Replenishers don’t have permission to change their password.)

  2. If users forget the password and enter the wrong password 3 times, the tablet will be locked, not allowing them to enter the Backend. In this case, please power off the tablet and re-enter the login page, using the default account and password to log in.

After logging in to the Backend, clicking the “Restart” button at the top right corner of Backend will reboot the tablet.

Product

In this section, users can manage products, editing the product name, image, price, and description for the shopping page.

Before configuring new products, please make sure that the slot layout has been configured. Please refer to the section “Slot” for more details.

  1. If there is no slot layout, it will prompt users to set up a slot layout first when entering the Product management page. Clicking the “Setup Slot Layout” button will direct users to the “Slot” page to create the slot.

  1. After creating a slot layout, select one or more slots/ trays, and tap the “Revise” button to edit the product details.
    Users can also double-tap a single slot to quickly revise its info.

    Note:

    Clicking the “Entire Tray” at the top right corner of each tray will select the entire tray to edit;

    By clicking one slot, it will select the single slot to edit;

    By clicking the “Select All” button, it will select all trays to edit.

  1. Edit the product details.

    Click the “Select” button to choose a product image stored locally for the selected slot(s), and enter the name, price/unit, and description, if any.

    Note: These configured product details apply to all the selected products.

    Image:  recommends 500*500px; supports equal scaling within the range; supports .jpg, .jpeg, .png; if the size exceeds 1MB, it will be automatically cropped.

    Name: 20 characters at most.

    Price/ Unit: (0-655.35]; 0$ is not supported at present; defaults to USD unit.

    Description: 200 characters at most.

  1. After editing, click “Done” to complete, and click “Save” to save changes.

Inventory

Users can manage each product's inventory in this section, including slot capacity and slot inventory.

  • Slot Capacity

Please set the slot capacity before editing its inventory.

  1. Tap “Slot Capacity” to edit the capacity of each slot.

    Select the slot(s) or tray(s), and click the “Revise” button to edit the capacity.

    Users can also double-tap a single slot to quickly revise its capacity.

  1. Click the “-/+” button or drag the progress bar to change the slot capacity. Click “Done” when it’s fine.

    The changed capacity will apply to all the selected slots.

    The range of the capacity is 1~99, and the capacity defaults to 99.

  1. After changes, click “Save” to save changes.

  • Slot Stock

After editing the slot capacity, please tap “Slot Stock” to set the slot inventory.

  1. Tap “Slot Stock” to select the slot(s) or tray(s). Click the “Revise” button to edit the inventory, or double-tap a single slot to quickly revise its inventory.

    (Similar to the operation in the Slot Capacity section.)

  1. Change the slot inventory and click “Done” when it’s ok. The change will apply to all the selected slots.

    The range is 0~ 99, and the stock defaults to 99.

  1. Users can also click the “AutoFill” button to fill the stock for those selected slots automatically.

  1. After changes, click “Save” to save changes.

Notes:

a. The slot inventory can’t exceed the slot capacity. Otherwise, an error message will appear.

b. The inventory quantity will be deducted according to actual transactions. When the inventory reaches 0, this slot block will be highlighted in Backend to remind users to do replenishment, and greyed out with “Out of Stock” on the Product Selection page to prevent purchase.

c. When the slot stock is set as 99, the inventory quantity won’t be deducted with actual transactions, and the slot will always be available on the Product Selection page.

Slot

Users can create the slot layout in this section. Please note that, before adding new products, the corresponding slot(s) must be activated.

  • Edit Slot

  1. Enter the “Edit Slot” section. For the first time creating a slot layout, there are 10 * 10 grids, which refers to the maximum slot quantity in the machine. All grids are greyed out when these slots haven’t been activated.

  1. Select one or multiple slots and click the “Edit” button to activate it/them.

  1. Enable the Slot Status, and select the Slot Mode from the dropdown list. Click “Done” to complete editing.

    Spring mode refers to dispensing the goods in a spiral.

    Pusher mode refers to dispensing the goods in a push.

  1. Click “Save” to save changes.

  1. The activated slot(s) are highlighted in blue and display a spiral or pusher icon.

When the slot(s) is/are activated, users can click “Product” to edit product details and tap “Inventory” to manage the slot capacity and stock. Please refer to the sections “Product” and “Inventory” for more details.

  • Test Slot

Users can test whether the slot(s) work well using the function “Test Slot”.

Tap the “Test Slot” tab, and select the tray(s) or slot(s). Then click on the “Test Dispense” button to check whether the product(s) will be normally dispensed from the selected slot(s).

Notes:

  1. If only testing one slot, users can also double-tap the single slot to quickly test.

  2. If multiple slots are selected, the goods will be dispensed in the order of the slot number.

  3. The inventory quantity of the goods won’t be deducted during testing.

Basic Info (Only for Operators)

Basic Info Settings include 3 sections: System, Server, and Role.

System

  • Machine Basic Information

In this section, users can check the Machine Basic Information, including the memory/storage usage ratio, device ID, screen orientation, screen resolution, and VMC module version.

  • Image/Video Import

In this section, users can import images and videos for product images, client logo, help image, full-screen ads, and half-screen ads. Please follow the steps below to import images and videos.

Please note that before setting up the desired product images, client logo, help image, full-screen ads, and half-screen ads, the corresponding images and videos must have been imported here!!

  1. Please put the images and videos to be used on the Thumb drive in advance. Plug the thumb drive into the tablet.

  1. Log in to the Backend and enter the Basic Info settings. Click the “Import” button under Image/Video Import.

  1. Select the USB folder to choose the images and videos to be imported.

    Click the “Multi” button to select multiple images and videos.

    Click the “Editor” button to copy or paste.

    Note: When opening the USB folder to select images and videos, any non-compliant images and videos will be automatically blocked.

  1. After copying the desired images and videos in the USB folder, go back to select the Internal Memory folder, and tap vendingMachine.

  1. Paste the images and videos into the corresponding folder based on their usage.

    1) “client-logo” folder: used to store the Client logo.

    2) “full_screen_ads” folder: used to store the Full-Screen Ad.

    3) “half_screen_ads” folder: used to store the Half-Screen Ad.

    4) “help_image” folder: used to store the image for the Help button.

    5) “product_image” folder: used to store the images for each product.

  • Client Logo

Click the “Select” button to choose an image that has been stored locally. After uploading the image successfully, the uploaded Client logo will be displayed at the bottom right corner when a full-screen ad appears, and at the top left corner of other screens. If no image is uploaded, the tablet will display the default logo.

Image resolution: recommends 300*100px; supports equal scaling (aspect ratio), such as 1000*333px, within the range.

Image format: .jpg, .jpeg, .png, .bmp; if the size exceeds 1MB, it will be automatically cropped.

  • Help Image

Click the “Select” button to choose the help image from those stored locally. The uploaded image will appear when users click on the Help button on the Product Selection page; if no image is uploaded here, display the default image.

Image resolution: recommends 800*1000px;

Image format: .jpg, .jpeg, .png, .bmp

  • Language

Currently, the system only supports English.

  • Software Version

Display both the current version that exists on the tablet and the latest version that can be used on the tablet.

Click the “Update to Latest Version” button to update to the latest version, or click “Select a Version to Update” to update the app to a required version.

Server

This section displays the Tablet ID and Server IP. Neither of them can be edited.

Role

Here, users can change the Operator password and Replenisher password.

Fault Diagnosis

This section is to help technicians quickly locate the machine error, ensuring the machine and network are available for daily use.

  1. Tap “Fault Diagnosis” and enter the “Machine Errors” section. An error list will show the machine fault history from the last 7 days, such as product dispense failure, payment failure, network connection lost, etc. The date, error code, and a simple description for the error are all included.

  1. Tap “Diagnostics”, and click “Run Connection Test”. Then start to check the Network status and show the results.

Payment (Only for Operators)

In this section, users can set the available payment method for customers to purchase products.

Payment Methods

  • Payment Methods: There are two options, Cash and Cashless, which are enabled by default. At least one payment method must be enabled. When both are enabled, customers can select to pay via cash or via Credit/ Debit Card for their order; when one is disabled, no payment method selection page will appear in the shopping flow.

  • Payment Waiting Time: Refers to the waiting duration for users to select a payment method. The range is 10 ~ 120 seconds. Defaults to 60 seconds.

  • Payment Period Time: Refers to the waiting duration for users to present cash or card payment. The range is 30 ~ 180 seconds. Defaults to 60 seconds.

  • E-Receipt: Allows customers to select email and/or text receipt after the purchase, with 4 options - None, Email Receipt, Text Receipt, and Email & Text Receipt (by default).

    Note: The E-Receipt functionality is not supported at present.

If there are any changes, please click “Save” to save the changes.

Tax

The parameters in this section can’t be edited from the tablet. They are defined on Vendsights only. Operators can only enable/ disable the specific tax rules, allowing them to be applied/ not applied to the corresponding products.

Note: The Tax functionality is not supported at present.

Shopping (Only for Operators)

In this section, users can define the shopping page UI style, including the ads, currency symbol, currency symbol position, and price decimal.

  1. Click the “Upload” button to upload the ad video(s)/ image(s) stored locally for Full/ Half Screen Ad.

    Note: Before uploading the ad videos/ images, please make sure they have been imported in the Basic Info section.

Full Screen Ad

Video/ Image Resolution:

Recommends1080*1800px.

Video/ Image Format:

  1. video format - .mp4, .mpg, .mkv, .avi, .wav; if the size exceeds 40 MB, the system will adaptively adjust the display effect.

  2. image format - .jpg, .jpeg, .png, .bmp; if the size exceeds 1MB, it will be automatically cropped.

Half Screen Ad

Video/ Image Resolution:

Recommends1020*500px.

Video/ Image Format:

  1. video format - .mp4, .mpg, .mkv, .avi, .wav; if the size exceeds 40 MB, the system will adaptively adjust the display effect.

  2. image format - .jpg, .jpeg, .png, .bmp; if the size exceeds 1MB, it will be automatically cropped.

  1. After uploading the ad image(s)/ video(s), click the “Set Interval” button to set the interval time for displaying the ad images/videos when there is more than one ad.

    When it’s ok, click “Save” to save changes.

  1. Click “Currency Symbol” to select the currency symbol from the drop-down list, defaulting to USD unit.

    Click the “Currency Symbol Position” button to select the currency symbol position from the drop-down list, with 2 options: Symbol Before Amount and Symbol After Amount. Default to “Symbol Before Amount”.

  1. Users can also select the price decimal from the drop-down list, with 4 options: 0/1/2/3. It defaults to 2 decimals.

Transaction History

In this section, users can check the transactions that happened on the machine.

  1. After tapping “Transaction History” on the menu list, a transaction history list appears.

  1. Click on any transaction record, and the transaction details will be displayed, including the order ID, transaction time, payment method, payment result, product name, product price, dispense result, other transaction details, etc.

  1. By clicking the “Filter” button, users can filter these transaction records by payment method, payment result, dispense result, timeline, and date/time. Please remember to click the “Apply Filter” button at the bottom right corner after selecting the filter criteria. Or, click “Reset” to reset the filter criteria.

  1. Users can also click the “Search” button to enter the product name or order ID to search for the desired transaction record(s).

Exit Central Controller

Tap “Exit Central Controller” to exit the Backend.
