This feature enables operators to configure and apply tax settings system-wide, ensuring taxes are calculated, displayed, and reported accurately on transactions and devices, with which operators can ensure compliance with tax laws and provide clear, accurate pricing and receipts to customers, improving trust and simplifying financial reporting.

Configure Taxes in Vendor Portal

The Tax feature is only applicable to the following transaction types (only when the tax feature is enabled): App Refill, Pay @ Mach. Coin, Pay @ Mach. - Pre Auth, Pay @ Mach. - Single Auth, Reversal @ Machine and Pay @ CentralPayLite.

Operators are able to configure tax settings in Vendor Portal → General Settings.

Scroll down to the tax section, where you can define the tax category, tax name, and calculation type. You can refer to the table below for instructions.

The option is disabled by default. Enabling it allows for the configuration of tax settings.

Choose your pricing display mode:

  • Tax-exclusive pricing: The displayed price is the base amount. Applicable taxes will be calculated and added at the point of checkout or on the final receipt.

  • Tax-inclusive pricing: The displayed price is the final total, inclusive of all applicable taxes.

Note: In current phase, only tax-inclusive pricing is available.

It defines the tax name, with a maximum of 20 characters. The name will appear on the receipt.

Calculation Type

Select from Variable (%) or Flat Rate (currency).

  • Variable: Calculated as a percentage of the base amount. Range from 0% to 100%, supports up to 2 decimal places.

  • Flat Rate: Charged as a set amount in the vendor's currency. Range from 0 to 100, supports up to 2 decimal places. It is displayed with the vendor's currency symbol.

Check Tax and Base Price in Pro Reports

Operators are able to check the tax value and base price in Pro Reports.

Transaction Report

Log in to KioCentral Pro and go to Pro Reports → Transaction Report. Click on the “Column Presets” tab and tick “Price” and “Tax”.  The two columns will be displayed in the report.

Add “Price” and "Tax” from the Column Presets manually, otherwise the two columns will NOT be shown in the report.

  • Tax: The tax is calculated based on the value paid

  • Price: The amount of value paid - tax

In the header row, the totals of tax and base price will be displayed as a quick reference.

For the other transaction types, “--“ is always displayed if tax was not enabled when the transaction occurred.

Click on the info button, and in the pop-up window there includes the details of the transaction. If the inclusive tax was applied and calculated when the transaction activity occurred, both Price and Tax will be shown in the pop-up.

Refund Report

Navigate to Refund Report. If tax and base price are expected to be checked, click on Column Presets and tick “Tax” and “Price” to add the two columns to the Refund Report:

Add “Price” and "Tax” from the Column Presets manually, otherwise the two columns will NOT be shown in the report.

  • Tax: The tax value is calculated based on the refund amount with the tax rate.

  • Price: The amount of refund - the value of tax

The totals of tax and price are always displayed in the header row as a quick reference.

The Tax and Price are only applicable to the following transaction types:

  • App Refill

  • Pay @ Mach. Coin

  • Pay @ Mach. - Pre Auth

  • Pay @ Mach. - Single Auth

  • Reversal @ Machine

  • Pay @ CentralPayLite

For the other transaction types, “--” is always shown in the report.

Click on the info button, and in the pop-up window, it includes the details of the refund. If the inclusive tax was applied and calculated when the transaction activity occurred, both Price and Tax will be shown in the pop-up.

To obtain receipts

Operators are able to send the receipts of a transaction event to the customers via email, with which the customers can receive the compliant invoice.

  • The receipt feature can be only applied to the following transaction types: App Refill, App Usage, Pay @ Mach. Coin, Pay @ Mach. - Pre Auth, Pay @ Mach, - Single Auth, Reversal @ Machine, Pay @ CentralPay Lite.

  • The receipt button will be dimmed as disabled if the transaction failed or has been refunded.

Click on the info button of the transaction entry and select the "Receipt" button in the pop-up window.

Enter a valid email address that will receive the receipt. Remember to click on the "Confirm" button.

The customer will receive an email with the receipt details on a timely basis.

The emails that provide the receipts’ details will differ depending on the transaction types. The following emails will use App Refill as a sample for your reference:

  • The language in the email will be the same as that configured for the location. English is used by default if a language transaction is not available.

  • For CentralPay users, if the inclusive tax had been added to the transaction, the users will be able to see the tax details shown in both email and SMS receipts.
